How soon should I begin planning?
Please contact us as soon as you have chosen a program to ensure enough time for us to make the arrangements and for your group to make plans. Typically, this means six months ahead of time for programs in the U.S. and nine months ahead of time for international programs.
How many people do I need to have in my group?
You need at least eight people to form your own group. Depending on the program and the size of your group, you may either have an entire program just for your group or we can reserve group space on a date of a program that is available to the general public and your group will be joining other participants who have enrolled independently.
What types of programs are available for groups?
We offer 5,500 educational adventures in the United States and around the world. We’re sure we have something to match your group’s interests and schedule.
Can I customize a program specifically for my group?
If your group is large enough to have an entire program to yourself, some customization may be possible, though we request you start from our current offerings. If you have a small group and are reserving space on a date with other Road Scholar participants, then we are not able to alter the program.
Do I get a discount if I bring my own group?
We offer some special incentives for groups of at least eight people. The incentives vary depending on the size of your group ...
For Groups of 20 or More
If you have a group with 20 participants, then the 21st person can go for free, each person can receive 5% off the program price or you can give 5% of the program cost back to your organization as a fundraiser.
For Groups of 8-19 People
For groups of 8 to 19 people, we’ll give each person in your group a voucher towards a future program, which is valid for two years from the date you return home.
Odyssey at Sea Special Offers for Groups
Bring your group aboard our favorite ship — the Aegean Odyssey— and if you enroll 15 people, then we’ll waive the program cost for your 16th participant or give back 6% of the program cost to your organization as a fundraiser. What happens if I can’t get enough people to go?
We won’t finalize the details until you’re confident that you’ll have enough people to make your program happen. In the rare instance when you are arranging an exclusive program just for your group and not enough people sign up, we can either move those who did enroll into a different date with other Road Scholar participants or you can pay a supplemental cost to remain a private group.
If you have a small group and are reserving space on an existing Road Scholar program that is open to the public, you don’t need to worry about having enough people. Individuals are subject to the same cancel and transfer terms that apply to all participants.
What do Road Scholar’s private group programs include?
Your Road Scholar educational adventure includes:
Informative lectures by leaders in their field
Course-related field trips with special “behind-the-scenes” access
Enrichment activities such as cultural events and performances
Accommodations in comfortable hotels, conference centers and inns
All meals, except where specifically noted. Some programs in areas with exceptional dining options exclude a small number of meals from the program cost so that our participants can explore local restaurants on their own; these exceptions, however, are clearly noted “up front” in our program description.
