ROAD SCHOLAR POSITION VACANCY


Title: Program Assistant, Program Implementation
Status: Full-time, non-exempt entry-level position
Reports To: Senior Manager, Program Implementation
Location: Boston, MA


SUMMARY OF RESPONSIBILITIES
The Program Assistant supports the Program Implementation Team with operational and administrative services for Road Scholar programming. This includes ongoing day-to-day administrative and clerical responsibilities, as well as other projects and duties as they occur.

Responsibilities include:
Gather information and facilitate communication on program details between all constituent groups: program sites, vendors and program staff, cruise lines, ground operators
Assist with research, development, implementation and mailings for all programs. Prepare and mail all program related materials to include welcome packets, rosters, name tags, rooming lists, group leader packets, etc.
Create and maintain supplemental program information for all programming; maintain files of preparatory materials and marketing materials
Assist with entering program dates and costs, applying for program numbers and ensuring timely completion of all financial verification reports
Arrange and confirm additional program arrangements from supplemental vendors such as hotel nights, transfers, meals and additional Program Staff
Access information and download reports from databases to include updated weekly enrollment reports; monitor enrollments (bookings) and space allotments on Ship based programs daily
Respond to inquiries from Road Scholar participants and other departments and offices
Monitor and process payments for Boston programs
Support program staff in the daily maintenance and operation of programs

REQUIRED EDUCATION, EXPERIENCE and COMPETENCIES
Bachelor's Degree required.
Ability to work in the US for any employer indefinitely without sponsorship
One to two years experience in the travel industry or similarly complex field.
Track record of meeting deadlines in a fast-paced, extremely high volume environment with tons of interruptions and receiving input from several different departments or managers
Service-oriented communication (verbal, phone, written and email) skills.
Collaborator; easy to work with; supports the team and organization in general
Good with numbers; highly accurate; quality driven; comfortable maintaining data and running reports in a hands-on database environment; learns new software quickly and willingly helps others with software questions.
Focused; productive; unflappable; ability to simultaneously manage several different projects well with minimal supervision
