Group Charter Policies & Requirements
While each Road Scholar program is subject to case-specific requirements — i.e. participant's mobility, personal documentation, etc. - ALL charters that are fully enrolled will be subject to the following requirements.
Full Private Group Charter in North America:
- $500 deposit to charter entire program
- For North America, the charter program will be reserved for 45 days after the charter is open for enrollment. This is typically six months prior to departure. The deposit check must be received within 21 days of the opening of the program.
- If at the program start date, the charter group has enrolled:
- The minimum or more, the entire deposit is returned
- Less than the minimum capacity, the entire deposit is forfeited
- Moreover, if at the end of the 45-day reserve period, the charter group has not met the minimum capacity, the program may be made available to others outside the charter group. After this date, the charter group may still enroll, but on a space-available basis.
- For a full charter, any reserved space must be released no later than 16 weeks (112 days) prior to the program start date. After the reserved space is released, the charter group may still enroll on a space available basis.
Full Private Group Charter Internationally:
- $1,000 deposit to charter entire program.
- For International, the charter program will be reserved for 60 days after the charter is open for enrollment. The deposit check must be received within 30 days of the opening of the program.
- If at the program start date, the charter group has enrolled:
- The minimum or more, the entire deposit is returned
- Less than the minimum capacity, the entire deposit is forfeited
- Moreover, if at the end of the 60 day reserve period, the charter group has not met the minimum capacity, the program may be made available to others outside the charter group. After this date, the charter group may still enroll, but on a space-available basis.
- For a full charter, any reserve space must be released at least 16 weeks (112 days) prior to the program start date. After the reserve space is released, the charter group may still enroll on a space available basis.
Partial Group Charters(Members of your group share space on an existing program with other Road Scholar participants.)

Partial Group Charter in North America:
- $200 deposit to reserve space
- The partial charter space will be reserved for 45 days after the partial charter is open for enrollment. The deposit check must be received within 21 days of the opening of the program.
- If at the program start date, the charter group has enrolled ...
- less than 50% of the reserved space, the entire deposit is forfeited.
- 50% to 80% of the reserved space, then half of the deposit will be returned.
- more than 80% of the reserved space, then all of the deposit will be returned.
